FP&A Dashboard for Condominium Management

Contracted as a data consultant, I turned a large residential condominium's spreadsheet-based accounting into a live financial command center — bridging daily cash flow with the 2024–2025 strategic budget.

The Challenge

The client's finances ran on a daily ledger, a standard chart of accounts, and static monthly summaries. Three bottlenecks stood out: expenses weren't dynamically linked to their categories, leadership only ever saw last month's numbers, and the 2024 actuals lived in a separate file from the 2025 budget — making a quick variance check nearly impossible.

The Process

Building a financial command center

Diagnosing the fragmentation

Mapped exactly where the reporting broke down: manual data manipulation was needed for any category-level analysis, and the budgeting process lived entirely outside the operational data.

Designing a star schema

Structured the daily transactions and the 2024/2025 budget forecast as fact tables, the chart of accounts as the central categorization dimension, and — the key piece — a dynamic calendar table that bridges both fact tables and enables real time-intelligence comparisons across years.

Centralizing the business logic in DAX

Organized every measure into a dedicated table split by folder — Actuals, Budget & Forecasts, and Variances — so that CALCULATE and time-intelligence functions could automatically flag the moment a category like maintenance breaches its allocated budget, and by how much.

Designing two strategic views

An operational view for real-time cash flow, where a single click on a category reveals the exact transactions behind a spike, and a strategic view plotting 2024 actuals against the 2025 budget to expose the gaps leadership needed to see.

Key Findings

What the command center changed

  • Category-level anomalies surfaced instantly. A spike in utility costs no longer meant digging through hundreds of spreadsheet rows.
  • Seasonal overspend became visible. Winter maintenance costs consistently overshot budget — a pattern the board could now see and plan around.
  • Budget meetings changed shape. Discussions moved from "whose spreadsheet is correct" to where to actually allocate capital next.
Impact

Unifying fragmented daily ledgers and isolated annual budgets into one automated Power BI ecosystem cut hours of manual spreadsheet formatting, reduced reporting errors, and gave leadership the real-time clarity to make proactive — not retroactive — financial decisions.
